Organizations selected one vendor for telephony, another for video conferencing, a third for webinars, and often several more for messaging, content management, streaming, and productivity. The goal was logical: Assemble a best-in-class technology environment optimized for the strongest individual capabilities.
That model worked because the systems largely operated as separate islands. The phone system did not need to understand what happened in a video meeting. The webinar platform did not need context from a chat conversation. Documents could live independently from communications platforms. Information was fragmented, but that fragmentation created limited friction because the tools were mainly judged by what each one could do on its own.
That era is ending.
The emergence of AI has fundamentally changed the technology value equation. AI becomes more useful when it can access the context surrounding work:
Years of best-in-class decisions have left valuable knowledge scattered across disconnected systems. A customer conversation may begin in chat, continue in a meeting, generate a document, lead to a phone call, and conclude with a webinar or executive presentation. Each platform captures a piece of the story, but no single system necessarily understands the whole narrative.
An AI assistant may summarize a meeting yet miss the decisions recorded in a document. It may understand a chat thread but lack the context from a customer call. It may surface a presentation but not the conversations that shaped its recommendations.
The knowledge exists. The continuity does not.
Modern workplace platforms are increasingly bringing calling, meetings, chat, webinars, email, calendars, documents, and workflows into connected ecosystems. When those experiences share identity, security, data, and context, AI has a better opportunity to understand how work actually happens.

The strongest historical argument for best-in-class was simple: no suite could be the best at everything. Organizations accepted fragmentation to gain the functionality they wanted.
This tradeoff is changing because modern platforms are not closed suites. They are extensible ecosystems. When a native function lacks a desired feature, organizations can often augment it with a third-party application, integration, service, or specialized device. Extensibility allows leaders to preserve the benefits of a connected platform while selectively adding deeper capabilities where the business requires them.
The decision is no longer continuity or capability. A strong ecosystem can provide continuity at the core and specialization at the edges.
Instead of asking, “Which vendor has the single best phone system?” leaders can ask, “Which ecosystem gives us the strongest foundation for knowledge continuity, governance, and user experience, while allowing us to extend capabilities where needed?”
A suite does not need to win every feature comparison to deliver greater enterprise value. It needs to connect the knowledge that matters and provide credible ways to close functional gaps without recreating the fragmentation organizations are trying to escape.
Extensibility must still be approached deliberately. Every add-on introduces considerations around security, identity, support, data access, user experience, and lifecycle management. The objective is not to rebuild disconnected products around a suite. It is to extend the ecosystem without breaking the continuity that made the suite valuable.
InfoComm 2026 in Las Vegas made this convergence tangible. Across keynotes, education, show floor experiences, and demonstrations, AI appeared throughout workplace collaboration, enterprise communications, content creation, customer engagement, and operational efficiency. The Smart Workplace experience, powered by FORTÉ, demonstrated how integrated technologies, AI-enabled collaboration, workplace analytics, and enterprise communications can create more intelligent and connected work environments.
The larger implication was easy to miss if the conversation remained focused only on devices. Hardware is no longer simply the endpoint of the collaboration experience. It is becoming the interface between human activity and the cloud-based knowledge ecosystem.
Cameras, microphones, speakers, displays, room systems, controllers, and personal devices capture the signals people create as they work. They hear the conversation, frame the participants, present the content, enable interaction, and connect the physical room to the digital platform. When these systems are integrated effectively, human activity can become usable organizational context: transcripts, summaries, decisions, actions, shared content, and searchable history.
This changes the role of hardware in an extensible platform strategy. The device is not merely a peripheral attached to the suite. It is the on-ramp for knowledge. Its ability to capture high-quality audio, video, identity, content, and environmental context directly influences the quality of information that reaches the platform and, ultimately, the value AI can produce from it.
It also changes how organizations should evaluate workplace technology. Image quality, audio performance, reliability, and ease of use remain essential. Leaders must also consider how well a device participates in the broader ecosystem: how it connects users to the platform, how consistently it captures context, how securely data moves, and how easily the environment can be managed and extended.
In a best-in-suite world, hardware and software cannot be treated as separate decisions. The platform provides the intelligence, governance, workflow, and knowledge layer. Hardware provides the human interface through which knowledge enters and returns from the ecosystem. Extensibility connects the two, allowing organizations to select specialized devices and experiences while preserving continuity across the platform.
InfoComm demonstrated that the future of workplace technology is not hardware versus software. It is the orchestration of both around the flow of knowledge. The most valuable environments will be those in which devices, platforms, productivity tools, and third-party extensions work together as one connected system.
Microsoft, Google, Zoom, and Webex all compete across major workplace communication categories, including calling, meetings, messaging, and webinars. As their core feature sets mature, isolated feature comparisons tell less of the strategic story.
The more consequential question is how broadly each platform can connect communication, content, productivity, workflow, and intelligence. Microsoft and Google bring an additional dimension because they pair communications capabilities with broad productivity suites. Documents, email, calendars, content, and collaboration can exist within the same larger ecosystem as meetings, chat, and calling.
Zoom and Webex remain important platforms with strong communications pedigrees and expanding ecosystems. Their future competitive position may increasingly depend on how effectively they connect with the productivity environments where customers create and retain knowledge, and how much context can move safely across those boundaries.
The next platform war may be fought less over who has the best meeting interface or longest feature list, and more over who can preserve, connect, govern, and activate the broadest body of organizational knowledge.
The traditional sourcing process compared products category by category. That remains useful, but it is no longer sufficient. Leaders now need to evaluate the cumulative value of the ecosystem, including continuity of identity, data, governance, search, AI, administration, user experience, and the extension model around partners, integrations, APIs, applications, devices, and services.
A practical platform strategy should examine five questions:
A best-in-suite strategy should not force every use case into one native application. Certain industries, workflows, spaces, and audiences will continue to require specialized capabilities. The goal is not uniformity for its own sake. The goal is intentionality.
Organizations should standardize the platform components that create the greatest continuity of knowledge and operational value. They should then extend that foundation where specialized requirements produce a clear business benefit. This creates a balanced architecture: unified where continuity matters, specialized where differentiation matters.
In that model, the suite becomes the connective tissue rather than a rigid boundary. Third-party solutions and purpose-built hardware add value without automatically becoming new islands of information.
Features will change. Interfaces will evolve. New AI models will emerge. The durable asset is the knowledge an organization creates through the daily flow of work.
Every call, meeting, message, document, webinar, and decision contributes to institutional memory. When those interactions remain disconnected, employees search for context, recreate work, repeat decisions, and depend on individuals to remember what the systems cannot connect.
When knowledge continuity is designed into the workplace platform, AI can help transform fragmented history into accessible organizational intelligence. People can locate prior decisions, understand why choices were made, identify expertise, prepare for customer conversations, and move work forward with greater context.
The winners of the next platform war may not be determined by who offers the best individual meeting, calling, chat, or webinar feature. They may be determined by who creates the most complete and extensible environment for preserving, connecting, and activating knowledge, from the human interaction in the room to the intelligence available in the cloud.
Best-in-class optimized the tool. Best-in-suite optimizes the flow of knowledge across the enterprise.
That is the new battleground in the modern workplace, and it will shape technology strategy for years to come.
